1.Agreement & Acceptance
These terms govern all services provided by IDO Events Ghana Limited ("IDO Events", "we", "us") to the client ("you"). Engaging our services, paying a deposit, or purchasing a ticket constitutes acceptance of these terms in full.
Where a signed event contract exists, that contract prevails over these terms to the extent of any conflict.
2.Booking & Deposits
A non-refundable deposit of 50% of the total contract value is required to secure a date.
- The remaining balance is due no later than fourteen (14) days before the event date.
- Dates are held only once the deposit has cleared into our account.
- Quotations remain valid for thirty (30) days from the date of issue.
- Late balance payment may result in suspension of services until settled.
3.Cancellations & Postponement
Our cancellation schedule is applied from the date written notice is received:
- More than 90 days before the event — deposit forfeited only.
- Between 90 and 31 days — 75% of the total contract value payable.
- 30 days or fewer — 100% of the total contract value payable.
- One free postponement is permitted where notice exceeds 60 days, subject to availability of the new date.
4.Tickets & Admission
Tickets are non-refundable but may be transferred to another named guest up to 48 hours before doors open.
Duplicate, altered or resold tickets above face value will be voided without refund. Management reserves the right of admission and may refuse entry for intoxication, prohibited items or abusive conduct.
5.Third-Party Vendors
Where we contract vendors on your behalf, we exercise reasonable care in selection but are not liable for their independent acts or omissions. Vendor contracts remain subject to their own terms.
Where you appoint your own vendors, you remain responsible for their conduct, insurance and compliance on site.
6.Liability & Force Majeure
Our total aggregate liability under any engagement shall not exceed the total fees actually paid to us for that engagement.
We are not liable for indirect or consequential loss, nor for failure or delay caused by force majeure, including severe weather, public unrest, epidemic, utility failure, venue closure or governmental restriction.
7.Media, Publicity & Data
We may photograph or film events for portfolio, social media and marketing use. Clients may opt out by written notice before the event date.
Personal data collected for registration and ticketing is processed only for event delivery and is retained in line with the Data Protection Act, 2012 (Act 843) of Ghana.
8.Client Obligations
You agree to provide accurate guest numbers by the agreed deadline, secure venue permissions where the venue is your own, and ensure guests comply with venue rules and applicable law.
Any damage to venue or hired property caused by you or your guests is chargeable to you at replacement cost.
9.Governing Law & Disputes
These terms are governed by the laws of the Republic of Ghana. The parties will first attempt good-faith resolution, then mediation in Accra, before litigation.
Disputes not resolved by mediation fall under the exclusive jurisdiction of the courts of Ghana.
